VMS Onboarding Guide

1. Log into Entrance Pass using your credentials.  If the system is already logged in.  Jump to 4.

 


  • Press ‘Login’ 
  • If you do not have credentials, please reach out to Athena Security Rep. 


2. Once you log into the Athena ‘Entrance Pass’ it will try to automatically log you into a Box that is not currently being used.


  • Press ‘Cancel’


3. This will take you to the ‘Athena Relay Unit’ where you can select the box you want to enter into. (VMSAccess Control Officer, VMSvisitor)


  • Select the program you want to use. VMSAccess Control Officer VMSvisitor 


4. VMS Visitor Station


4.1 Once you select a VMS visitor it will take you to the following screen.


  • This is where the Visitors will check-in to the facility. Once they press ‘Push to Scan’ the VMS will guide them through the steps to check-in. 


4.2 The Visitor will place their ID in the ID holder, barcode facing the camera.



4.3 Once the ID has been scanned it will take you to the information screen and have the Visitors ID information filled out for them to review.



  • You may show the address information depending on the setting. You can choose to pull the address from the ID or just the First and Last name of the Visitor. 
  • The data that is stored on the server is completely up to the you. You can pick what data is sent to the server and what data is not. The data can also be stored only on the iPad. 
  • Press ‘Continue’


4.3.1 The customer can choose to have the Visitors address pulled from their ID or not. 

  • Press ‘Continue’


4.4 It will take you to the ‘Patient you are visiting’ page to fill out the patient's name.



  • Press ‘Continue’ 


4.5 The Visitor will be asked to take a selfie.



  • Press ‘Take Image’ 


4.6 Take the Image and select ‘Use Photo’



  • Press ‘Continue’


4.7 The Visitor will then search for the Department they are visiting or press SKIP.



  • Press ‘Done’


4.8 The Visitor will then fill out the room number or press SKIP.



  • If the Visitor skips this step the Access Control Officer will be prompted to enter the room number they are visiting. 
  • Press ‘Done’


4.9 The Visitor will then be asked to type in their phone number.



  • Press ‘Continue’ 


4.10 Then the Visitor will then confirm their phone number.



  • Press ‘Confirm’


4.11 The Visitor experience is complete and all the information is sent to the Access Control station to be verified before printing. 


4.12 The Visitor will then hand their ID to the Access Control Officer  to confirm the Visitor’s information and print their badge.


 


5. VMS Access Control Station


5.1 Once you select VMS Access Control Officer it will take you to the following screen.


  • This is what the customer will see at the Access Control Officer stations. 
  • The Access Control Officer will then see all Visitors checking into the facility on the left hand side. 
  • The ‘Refresh’ button will refresh the Visitor column to see if there are any Visitors that have filled out the information. 


5.2 The ‘Add Visitor’ button allows the Access Control Officer to assist a Visitor that cannot fill out the information at the Visitor station.


  • If the Access Control Officer needs to add a Visitor select ‘Add Visitor’ and see section 4. 


5.3 The ‘Check Out’ button is for Visitors that are leaving the facility and are able to check out at the front desk.


  • This will allow the Access Control Officer to scan the QRcode or BARcode on the badge to check out the Visitor. 


5.4 Once the Visitor is added to the queue the Access Control Officer will press ‘Select’ to print the Visitor badge.



5.5 The Visitors image and Patients name, room number, and the department they are visiting will open to print.


 


  • This is where the Access Control Officer will be prompted to add the room number, and department they are visiting. 
  • If the ID is expired it will flag the visitor on this page. 
  • Press ‘Print’ 


5.6 The QuickPrints.



  • QuickPrints are for Minors and other areas of the facility that do not require the Visitor to check in and allow the Access Control Officer to quickly print a badge for that Visitor.
  • If there are more than one Visitors the ‘Print Quantity’ will allow the Access Control Officer to quickly add a quantity for any of the quick print settings. 
  • The QuickPrint settings are customizable for the customer.
